Rental Policies

 

RESERVATIONS: The security deposit is due at the time of booking. The Security Deposit is not applied towards rent, but is refundable 7-10 days after your departure provided rent due has been paid and there are no damages or additional cleaning charges incurred. Rent is due in full upon arrival or on the first of each month, depending on the length of your reservation. Your credit card number is held in case there are damages that exceed your security (damage) deposit. Otherwise, no charges are made to your card. Under no circumstances will keys be provided to guests that have not paid in full. If full payment is not received, reservation will be considered cancelled and the Cancellation Policy will be applied.

  • You may pay the balance with a personal check, traveler’s checks, money order or credit card. If paying by credit card, a 5% convenience fee will be added to the amount due. Returned checks will incur a $50.00 returned check fee which will be added to your balance.
  • You will be charged for the entire length of stay reserved and will not receive a refund for checking in late and/or checking out early.
  • Sorry, no refunds will be given for inclement weather.
  • No refunds for early departure.

CANCELLATION POLICY: Daily and weekly bookings require at least 14 days notice prior to the scheduled arrival date. Monthly bookings require at least 3 months notice prior to the scheduled arrival date. Holidays and special events (i.e. GA/FL weekend) require a 31 day notice. An amount not to exceed 1/2 the rent or $250.00, whichever is greater, less any deposit paid, will be charged to the credit card on file for cancellations with less than the required notice, unless the unit is re-rented for the same time period and price.

GOVERNMENT OFFICIALS: MAY CANCEL WITH LESS THAN REQUIRED NOTICE ONLY IF THEIR ORDERS HAVE BEEN CHANGED OR CANCELLED. UNDER NO CIRCUMSTANCES WILL PREPAID RENT BE REFUNDED UNLESS WE ARE ABLE TO RE-BOOK THE PROPERTY FOR THE SAME TIME PERIOD AND PRICE. RENT IS DUE ON ARRIVAL AND DUE ON THE FIRST OF EACH MONTH THEREAFTER. MANAGER MAY CHARGE CREDIT CARD ON FILE IF RENT HAS NOT BEEN PAID BY THE 5TH OF THE MONTH.

LATE FEES: A 10% late fee may be assessed on all monthly rentals that are not paid within 3 days of the due date.

UTILITIES SURCHARGE: Monthly bookings are subject to an excess utilities surcharge when utilities are significantly higher than average due to their occupancy.

CHECK-IN PROCEDURES: Belinda Thomas Realty, Inc. will make every effort to have the property available as early in the day as possible. However, check-in time is normally 4:00 p.m. on the date of arrival. During the peak season, there may be unusual circumstances that prevent the property you reserved from being ready by 4:00 pm. We ask for your patience.

Please let us know your estimated time of arrival. On the day of your arrival, your check-in packet may be picked up at our office during normal business hours. If you arrive after hours, or on a weekend or holiday, your check-in packet will be left in the drop box outside our office door.

WHAT IS PROVIDED:
The rental property will include 1 set of bed and bath linens for each guest that the unit will accommodate. Please do not use towels or washcloths for makeup removal or to take to the beach. Damaged items will incur a replacement fee. A starter supply of bathroom soap and toilet paper will be provided. A single use dish washing detergent packet as well as one trash bag for each can will be provided. Kitchens are stocked with pots, pans, silverware, dishes, and glassware, along with major appliances, a blender, coffee maker and toaster.

WHAT TO BRING: Paper towels, toilet paper, dishwashing detergent, dish soap, all purpose cleaner, trash bags, laundry detergent, bath soap, shampoo, hair dryer, and beach items (towels, chairs, umbrellas, sunscreen). Don’t forget your camera!

CHECKOUT PROCEDURES: Checkout time is 10:00 am on the day of departure.

  • Please leave all keys, plus any parking permits and/or pool keys/passes at our office. We have a drop box located outside our office door if you are leaving outside of our normal business hours. There is a $5 charge for each item not returned. All guests and belongings must be out of the property by the checkout time, unless prior arrangements have been made.
  • To avoid additional cleaning charges, please do the following before departure:
    • Load dirty dishes into the dishwasher.
    • Please remove all sheets and pillowcases from the beds and leave near the washer/dryer in the unit.
    • Remove all food from refrigerator.
    • Leave furniture arranged as you found it.
    • Put garbage in sturdy plastic garbage bags and place in the appropriate receptacle provided (trash chutes, dumpster, or covered outside containers).
    • Close and lock all windows and doors.
  • Please leave the property neat and orderly.

LOCKOUTS: If you lock yourself out of your property, we will be happy to come let you in at no charge during regular business hours. Please call 912-638-1965 or one of the emergency numbers found on your check-in packet. If you are locked out after 8:00 pm, call & text us and if we are nearby we will help you. A service fee may apply.

PARKING: Some complexes have parking permits that you will receive at check-in. There is a maximum of 2 permits per unit. Additional vehicles will need to be parked in a public parking lot. Display the permits on your dashboard at all times. Most condos/townhomes prohibit boats, trailers, jet-skis, motor homes and buses. If traveling with any of these, please call to discuss other parking options.

DAMAGES: All accidental damages must be reported immediately to Belinda Thomas Realty, Inc. Guests will be held responsible for any intentional damages to property. Damages will be billed to the guest’s credit card. Please do not use towels or washcloths for makeup removal or to take to the beach. Damaged items will incur a replacement fee.

REPAIRS & REFUNDS: Our staff is here to make sure your vacation rental is in the best condition that it can be. If you should discover a problem, please report it to us immediately so that we can correct it as quickly as possible; however no refunds will be given for appliance failure or other circumstances beyond our control. Please do not wait until you are checking out to let us know about problems, as we no longer have the opportunity to rectify the situation. At times, we must wait for parts or service but we will do our best to make sure your experience is enjoyable.

Please be aware that air conditioning units may freeze up if doors and windows are left open or if set too low that they must continually run. Guests will be responsible for paying for service calls for any air conditioner or refrigerator that is turned down so low that it freezes up and requires maintenance.

Belinda Thomas Realty, Inc. and/or an authorized employee or repairman may enter the premises during normal business hours for any purpose pertaining to repair, improvement, care, and management of the premises. We will try to notify you, if at all possible, in as far advance as possible of any entry. Management reserves the right to move guest to another unit if needed repairs cannot be completed in a timely manner. Guest understands Management may not be able to move guest if a comparable unit is not available.

AFTER HOURS EMERGENCIES: If you have an emergency in the evening, please call and also text your message to one of the emergency numbers shown on the front of your check-in packet. Please allow time for a response. Be sure to leave a message if no answer. It’s important that you not only call, but also text in case our phones are on silence. After hours emergencies do not include A/C systems that have malfunctioned. Please call our office the next morning for service.

GRILLING: Association by-laws and local fire codes prohibit charcoal or open fire grilling on or under decks, balconies or porches, or within ten feet of any structure. Please check property for designated grilling area.

ITEMS LEFT IN PROPERTY: Belinda Thomas Realty, Inc. is not responsible for personal items left in a property. We will do our best to return your item if found. Shipping or postage charges may apply to mail the items back to you. Any items otherwise unclaimed will be considered abandoned after five days from your departure.

OCCUPANCY:

  • The total number of persons allowed in the property at any time is restricted to the stated limit for each property.
  • We are very serious about maintaining a family atmosphere for the quiet enjoyment of all our guests. We will rent to family groups and responsible adults only. Belinda Thomas Realty, Inc. will not rent to anyone under 25 years of age. No children will be allowed to check-in. Reservations made under 0 pretense will be subject to forfeiture of entire advance payment. Identification may be required upon check-in to verify age.
  • No parties, weddings, or gatherings are allowed without prior written permission from Belinda Thomas Realty, Inc.. Absolutely no student groups or house parties will be tolerated.
  • All accommodations are governed by appropriate Georgia Laws, and also Rules and Regulations that are applicable to said premises. Occupancy of common areas shall be quiet and peaceful so as not to disturb others. These Rules and Regulations, where applicable, are include in the Guest License Agreement. Required parking permits and/or pool keys/passes for the condominium complexes will be provided at check-in.

The penalty for violating these rules is eviction without refund.

NON-SMOKING: All properties are non-smoking. Violation may result in eviction without a refund, forfeiture of deposit, and/or additional cleaning fees.

PETS: We understand that your pets are important to you. However, we cannot accept them in most of our rental properties. If evidence of a pet is found in a pet-free unit or on the premises, you will incur an additional charge or be asked to leave without a refund. Having a pet in a rental unit without previous permission will void the contract and therefore be subject to eviction and forfeiture of any rental payments.

SUBSTITUTION: In the event the unit you booked becomes unavailable, Belinda Thomas Realty, Inc. will notify you and offer you another unit.You will be charged the current rate for the new property and, upon notification of the change, you will be given the opportunity to cancel without penalty should the new arrangements not be acceptable. After notification, the normal cancellation policy will once again apply. Units may not be sublet.

INDEMNITY: Belinda Thomas Realty, Inc. will not be liable for any damages to rental property of furnishings, nor for injuries resulting from any accident that may occur in or on the premises during the guest’s occupancy. Belinda Thomas Realty, Inc. will not be held responsible for acts of theft or vandalism or other damages to the guest’s personal items left in the property.

Guest understands Belinda Thomas Realty, Inc. is solely acting as the rental manager and does not own the property being rented and that guest is gaining usage of property only through a license to use and is not gaining any interest in the property.
